How It Works

From choosing your services to handing off the work — here's exactly what to expect when you get started with
Your Ops Manager.

The process

Five steps to handing off your operations

1

Choose your hours and services

Start on our Pricing page and select the hourly rate package that fits your business size and budget. Hourly blocks cover the day-to-day operational work your Account Management team will handle. You can layer in fixed-rate services — like hiring projects or registered agent services — on top of your hourly package.

Not sure how many hours you need? Our pricing page walks through what's typically included at each level. You can also email us before committing and we'll help you figure out the right fit.
2

Sign your agreement electronically

Once you've selected your services, we'll send your engagement agreement for e-signature through Zoho Sign. The agreement outlines the scope of services, billing terms, and how we'll work together. Review it, sign it online, and you're in — no printing, no scanning, no back-and-forth.

Everything is handled digitally. The whole process from selection to signed agreement can be completed in under 30 minutes.
3

Complete the prospect questionnaire

After signing, you'll complete a short questionnaire about your business — your industry, employee count, current tools and platforms, and which services matter most. This gives us a clear picture of your operational landscape before we ever make contact.

Takes about 10 minutes. The more detail you provide, the faster we can get oriented and start adding value from day one.
4

Fill out your onboarding worksheet

The onboarding worksheet goes deeper — logins, vendor contacts, payroll schedules, recurring deadlines, file locations, and anything else your Account Manager needs to hit the ground running. Think of it as a comprehensive handoff document that ensures nothing falls through the cracks during the transition.

You only do this once. We keep this information current and passsword protected on our end so you have peace of mind and never have to re-explain your business setup.

Your Ops Manager gets to work

Your dedicated Account Manager will reach out within one business day to confirm the scope of services, introduce you to your team, and identify which tasks are the highest priority to tackle first. From that point forward, they will manage your workload — a real person who knows your business, handles your recurring work, and keeps you informed without burying you in updates.

No onboarding overhead on your end. Your job is to answer a few questions and step back. We take it from there.
Common questions

Things people ask before they start

How quickly can you take things over?
For most new clients, we're fully operational within one to two weeks of signing — depending on the complexity of the services and how quickly the onboarding worksheet is completed. If you have a hard deadline (like payroll coming up), let us know upfront and we'll prioritize accordingly.
Do I have to switch to different software or platforms?
No. We work within your existing systems wherever possible. If you're already using QuickBooks, Gusto, or another platform you like, we work in that environment. We only recommend changes when there's a clear operational or cost reason to do so — and we'll always discuss it with you first.
What if I only need help with one thing, like payroll?
That's completely fine. Many clients start with a single service and add more over time as they see how we work. We offer fixed-rate services like hiring projects or registered agent services that don't require a full hourly engagement. You're not locked into more than you need.
How do I know what my hours are being used for?
We track all time in Zoho Projects and provide clear reporting on what was done and how long it took. You'll never be left guessing where your hours went. If you're approaching your monthly limit, your Account Manager will flag it before you go over so there are no surprises on your invoice.
Is there a long-term contract?
Our engagements are ongoing monthly agreements — not multi-year contracts. We don't lock you in because we don't need to. We've been doing this since 2010 and we earn continued business by doing the work well. If your needs change, we can adjust your scope or wind down with reasonable notice.
